Job Title:  PA & Operations Assistant

 

Full-time – based in our Edinburgh Studio

Job Description: We’re searching for a dedicated and resourceful individual to join our dynamic team as a PA & Operations Assistant. If you thrive in a fast-paced environment and excel at organisation and communication, we want to hear from you!

 

You will have daily interaction with internal and external clients and as such will need to have excellent communication skills. Good organisational skills, highly efficient and confident communicator with the ability to prioritise.

 

A flexible and dynamic approach to an ever-evolving environment is required, along with the ability to work under pressure to meet tight deadlines and take pride in the care that you give to your workload.

 

It is envisaged the role will be split into the following; 50% PA role, 30% Assistance to the Operations Lead and 20% admin duties.

 

Responsibilities: 

  • You will assist the MD in managing their electronic diary, assessing priority of appointments and reallocation as necessary.
  • Assist with events planning and management.
  • To support with general office duties e.g. managing the office reception – answering the phone switchboard, managing incoming and outgoing mail, photocopying and scanning of documents
  • Organisation of travel and hotel accommodation, attention to every detail will be a priority.
  • Maintaining the database system of the Practice, such as Client information, resource and timesheets.
  • Management of business accreditation ISO, Constructionline etc.
  • You provide support for an extensive range of meetings. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and following them up.
  • Support in preparing information e.g. presentations, reports

 

Requirements: 

  • Highly organised Administrator/PA with a can do attitude who has experience supporting at a senior level.
  • Strong secretarial skills (i.e. good spelling/ grammar, etc.)
  • Educated to Higher standard or equivalent is desirable and the able to demonstrate a high degree of personal organisation and self-management.
  • You’re most comfortable when working to tight deadlines, turning work around within a short time span and able to react to change at short notice.
  • Excellent interpersonal skills, able to embrace diplomacy, tact and empathy at all times. You can manage complex and highly confidential information, a real problem-solver with excellent MS office proficiency.
